The challenge
PetVet Talent Acquisition Operations Senior Manager, Alicia Erickson, joined the organization in 2023 and stepped into her current role in early 2024, where she oversees recruiting systems, technology integrations and vendor partnerships.
Before transitioning to Greenhouse, PetVet managed their hiring process with an ATS that wasn’t built to scale with their rapid growth. “Our old system couldn't really keep up with what we needed to do and how we were hiring at the time,” said Alicia. Some of their biggest challenges included:
- Rapid company growth prompted the need for more sustainable and scalable processes: “One of our biggest hiring challenges was ensuring our recruiting processes could keep pace with our growth while maintaining a seamless candidate experience,” said Alicia.
- Frustration with the previous ATS and lack of integrations led to inconsistent use: “Our previous system just wasn’t as user-friendly. So it wasn’t used as consistently,” said Alicia. Because the ATS wasn’t integrated with Dayforce or other essential tools, some recruiters and hiring managers posted their jobs directly on external job boards. This meant data was gathered inconsistently and didn’t live in a single system.
- Inefficient processes took up recruiters’ time: Because recruiters weren’t using the ATS consistently, teams were relying on time-consuming, manual processes to handle routine hiring tasks. “It was hard to be efficient, and we’d get bogged down,” said Alicia.
Recognizing the need for a faster, more data-driven approach, PetVet chose Greenhouse to transform its hiring process.
Without the right tools in place, our team spent more time on manual processes, which limited our ability to engage talent quickly and effectively. We wanted to create a more streamlined, data-driven approach that allowed us to focus on building relationships with candidates rather than being bogged down by administrative tasks.

The solution
As a fast-growing company with 420+ hospitals – each with unique hiring needs – PetVet’s recruiting team knew it was time for a change. “We needed a system that could provide consistency, efficiency and visibility across all locations,” said Alicia. Here’s why Greenhouse was the right choice:
- Intuitive and user-friendly interface: Greenhouse stood out for its clean and user-friendly design. This was a major selling point since usability was a common complaint about the previous ATS. “It’s easier for different types of hiring team members to use Greenhouse,” said Alicia.
- Automations that speed up workflows and help improve the candidate experience and employer brand: Tools like Greenhouse Scheduling reduce time spent on administrative coordination, while the Greenhouse Job Ad Market simplifies posting to third-party sites. Together, these solutions cut manual work and help PetVet build a more consistent, visible and engaging employer brand.
- A balance of native and integrated solutions that provide everything they need in a hiring system: With 500+ pre-built integrations and an open API, the Greenhouse ecosystem empowers PetVet to build a connected tech stack tailored to their needs. “Greenhouse got us all on the same page,” said Alicia. Key tools like Adobe eSignature and texting with Emissary.ai sync seamlessly with Greenhouse, ensuring data flows consistently across systems and enabling a more unified, efficient hiring process.
With the right system in place, PetVet quickly began to see measurable gains.
Greenhouse stood out for its sleek, clean design and user-friendly interface, making it easier for our diverse teams – whether recruiters, hiring managers or hospital leaders – to navigate the system efficiently and spend less time on administrative tasks.

The results
When PetVet made the switch to Greenhouse, the goal wasn’t just to find a better ATS – it was to give busy hospital leaders and recruiters time back in their day, improve hiring quality, and create a consistent experience across 420+ locations. The impact was clear almost immediately.
- 22% faster time-to-hire: Automation tools and streamlined workflows accelerated hiring across all hospitals, allowing teams to fill roles quickly without sacrificing quality.
- 67% less manager time spent on recruiting tasks: With an intuitive system and automated processes, hospital leaders can focus on patient care instead of administrative work.
- 91% retention rate among support staff in pilot: Structured hiring led to stronger candidate-role matches, improving early retention and long-term fit.
- Better quality of hire (QoH) and candidate experience: Standardized job ads, consistent application questions and centralized data empowered smarter hiring decisions and a more equitable candidate journey. And while QoH is difficult to measure directly, early retention indicators showed that hires made through Greenhouse had stronger three-month retention rates – especially among hourly team members.
By aligning every hospital on a single, streamlined system, PetVet isn’t just hiring faster – they’re hiring better, creating a foundation for sustainable growth in a competitive industry.
With Greenhouse, we’ve seen improvements in the quality of hires, better candidate experience and higher retention rates.
Overall, the changes we’ve implemented have allowed us to build a more efficient, effective and candidate-friendly hiring process, which supports our growth and helps us attract and retain the right talent.
