Greenhouse uses our Greenhouse Notetaker, an AI-powered feature that records and transcribes interviews so interviewers can stay present, ask better follow-up questions and capture stronger feedback for evaluations later. Greenhouse Notetaker records Zoom interviews so they can be internally replayed by our hiring and recruiting teams.
Why record interviews?
Greenhouse Notetaker records and auto-transcribes interviews, allowing our interviewers to more meaningfully engage with candidates, rather than taking copious notes, which can take away from the experience of an interview.
Even when using structured hiring processes, human nature can impact interviewer recollection or note taking, increasing the chance for bias to impact our decision making. With Greenhouse Notetaker, our hiring teams don’t have to worry about forgetting important details of an interview.
In addition, our Talent Planning & Acquisition (TP&A) team uses the improved visibility into interviews to support leaders in making inclusive hiring decisions.
These recordings also ensure that we continue to practice what we teach and follow structured hiring processes. Doing so will help us become better interviewers and advocates for candidates.
Who will have access to my interview and how will the interview clips be used?
The interviewer, the TP&A team, and the Hiring Manager have access to your interview recording. In some cases, the TP&A team and Hiring Managers may rewatch your interview recording for clarification and calibration purposes.
Your interview recordings may be used to help detect and prevent candidate fraud (such as impersonation or use of deepfake technology). This processing is based on our legitimate interest in protecting the integrity and security of our hiring process.
Your interview recording will be deleted after 60 days. The transcript of your interview will be deleted after 2-3 years, depending on your location.
Important reminders
You will know when / if your interview is being recorded. You’ll receive emails from Greenhouse notifying you about your interview being recorded ahead of your interview.
You will have the choice to not be recorded. You are in control of whether the Greenhouse Notetaker records your interview. If you’d rather not be recorded, you can opt-out at any time.
Interviewers at Greenhouse also have the choice to opt-out of being recorded. If you’re comfortable with the Greenhouse Notetaker joining your interview, but a Greenhouse employee isn’t, Greenhouse Notetaker will not record the interview. All parties have to be onboard with being recorded.
Choosing to opt-in or out of being recorded will have no effect on our hiring decisions. Regardless of whether your interview is recorded, our hiring decisions will always be based on the alignment of your skills with the role, and performance in our interview process - not whether you’ve opted in / out of the Greenhouse Notetaker.
