About Kaizen Gaming
Kaizen Gaming is one of the biggest gametech companies in the world and it owns the premium online sports betting and gaming brand Betano, with an established presence across numerous markets in Europe, the Americas and Africa. Today the company operates in 20 markets and employs approximately 3,000 people of over 40 nationalities.
The company needed recruiting infrastructure that could keep up with rapid growth while maintaining consistency and compliance across diverse international markets.
The challenge
Before Greenhouse, Kaizen Gaming’s talent acquisition team was working with various different tools that were disconnected from each other. Although they needed clear visibility and consistent processes, they were often juggling external tools and spreadsheets, spending valuable time managing data rather than hiring people. Here are a few of their key challenges:
Disjointed hiring and delayed workflows: Without organised coordination, comparing candidates was challenging, and getting feedback meant recruiters constantly needed to do followups. They consumed valuable time in back-and-forths with hiring managers instead of dedicating it to talking to candidates or thinking strategically about sourcing.
No data visibility into recruiting performance: The team had no clear way to see what was happening in their hiring pipeline. Without metrics on recruiter performance, stage conversion rates or time-to-hire benchmarks, they couldn’t figure out where candidates were getting stuck or what needed fixing. Leadership also didn’t have visibility in hiring metrics.
Fragmented systems were a hurdle in effective data management: Candidate information was split across their previous ATS and spreadsheets, so recruiters constantly copied data back and forth. This created inconsistencies and ate up hours on administrative work. For a company operating across 20 countries with different data protection regulations, there was a need for a centralised system that could help to effectively handle GDPR compliance requirements.
We didn’t have much visibility into pipeline health or recruiter performance. That made it challenging to identify bottlenecks or make data-informed decisions to improve our hiring effectiveness.

The solution
Kaizen Gaming implemented Greenhouse so they could finally have a unified recruiting platform where their distributed team could work from the same data and follow consistent processes. The system replaced all those fragmented tools with centralised workflows while giving them the visibility and automation they needed to hire faster and smarter.
Single source of truth for all candidate data: Greenhouse became the one place where all candidate information lived. Every note, piece of feedback email and stage decision gets recorded right in Greenhouse. This created consistent, reliable candidate records while cutting out tonnes of administrative busywork. For a company operating across countries with varying data protection laws, this centralised system also automatically documents all candidate interactions, creating a complete audit trail for GDPR compliance.
AI-powered screening with Talent Filtering: Talent Filtering handled the initial heavy lifting of sorting through applications, instantly surfacing the best-fit candidates. This freed up hours of manual CV screening so recruiters could focus on what actually requires human judgment, like building candidate relationships and partnering with hiring managers on strategy.
Automated coordination and simplified scheduling: Stage transitions and routine tasks now happen automatically, cutting out manual handoffs. This means that interview scheduling also became a breeze. Self-scheduling let candidates pick their own interview times, eliminating email back-and-forth. Then, interviewer groups organised interviewers by team and skillset with auto-replacement, keeping schedules moving.
Real-time reporting dashboards and consolidated data through BI Connector: Comprehensive reporting tools and the Greenhouse BI Connector let the team pull all recruiting and HR data straight into Power BI, where they built custom dashboards tracking pipeline health, recruiter performance and stage conversion rates. This finally gave leadership the company-wide visibility they’d been missing, with real-time metrics that made it easy to spot bottlenecks and make smart decisions about improvements.
Greenhouse allows us to design and follow a consistent, well-organised hiring workflow across all roles and teams. This has improved alignment and reduced ambiguity in every step of the recruitment process.

The results
Moving from spreadsheets and disconnected systems to a unified platform created a ripple effect across Kaizen Gaming’s entire recruiting operation. The team got faster, compliance got easier, and hiring managers got the visibility they’d been asking for.
Making the right hires, faster: Equipped with efficient and AI-powered hiring tools from Greenhouse, time-to-hire dropped by 33%, from 54 days to 36 days, while average cycle time per stage improved by 31%, going from 6.5 days to 4.5 days. Time-to-start dropped by 11%, from 75 days to 67 days, getting new hires to become productive faster. The centralised platform also reduced reliance on external agencies by making it easier to build internal talent pipelines (without hefty agency fees).
Consolidated data and compliance readiness: Greenhouse Reporting tools eliminated hours of manual reporting work, giving that time back to actual recruiting. The team also reduced the compliance risks that came from scattered files across multiple tools. They can now demonstrate proper data handling practices across all their markets with a centralised audit trail that documents every candidate interaction, piece of feedback and decision in one place.
Stakeholder adoption and visibility: Hiring managers now open their own requisitions and monitor headcount directly in Greenhouse, which reduces the administrative burden on recruiters and speeds up the entire requisition process. This real-time visibility means hiring managers can track progress on their open roles without waiting for status updates, keeping them informed and enabling faster decision-making when candidates need to move forward.
I would absolutely recommend Greenhouse. The platform gives us structured, consistent hiring processes, complete visibility into candidate information and powerful reporting that enables smarter, data-driven decisions across the entire recruitment lifecycle.
